Integrating Change Management Alongside the Implementation of the Insurance System

People are a fundamental part of the process when changing systems. A successful implementation means that you ensure buy-in and agree process with all pillars that will be changing. One that we place a lot of focus on is Change Management.

We believe it is in everyone’s best interest to ensure all users understand exactly what the system has to offer and, more importantly, how it will change their day-to-day operational lives for the better.

Change Management takes its form in various ways throughout the implementation life cycle:

  • Inviting different user groups into the collaborative business alignment sessions. This is a crucial step in making sure all key stakeholders share their view on what the business process is and what they would like it to look like with the new system in place. This ensures everyone feels part of the solution!
  • Change Management Demonstrations are a compulsory step as part of the implementation life cycle. During this step, we have demonstrations of the client-specific configured system. We use this opportunity to highlight the heavy-hitting components that we have configured and the functionality that really makes a difference in their day-to-day efficiency. This gets the users excited about their journey ahead.
  • Ongoing User Training is essential for constant growth of your users and their knowledge on the system. It enables your team to remain independent and, in doing so, you will create system owners rather than users.
  • Online 24/7 access to training material and easy-to-use videos that showcase the system functionality. Training on a new system is an information overload. Making sure that all teams have something to refer back to or to just refresh their memory is key. Making this information available on an easy-to-use online platform gives your team the support they need without having to call someone for assistance.
  • The time between go-live and being fully dubbed into business-as-usual is called a Warranty Period. It was designed to ensure that all users have access to their projects team during their transition into BAU. This can really be seen as the warranty period offering additional support to help all users transition back into their working with a new system and new process.
